Dashboard Maintenance Procedures

The information on this page describes how to:

  • get a project onto the PPO Dashboard; and
  • provide monthly Dashboard updates on the status of your project.

How to Get a Project onto the PPO Dashboard

In order to facilitate the decision-making process of all relevant stakeholders, it is recommended that you do this in the Proposal stage of your project.

Step Action
Step 1 Fill out the required fields in the Project Summary Data Sheet. You can view a sample of a completed Project Summary Data Sheet on the PPO Dashboard.
Step 2 Save the document using the following standardized naming convention:  PPO_DS_Project Name (e.g. PPO_DS_Facilities Management Software).
Step 3 Send the completed form to ppo@queensu.ca and attach all other relevant documents. Make sure to put "New Project Proposal: [Project Name]" in the subject of your email.
Step 4 The PPO will review the submitted DS and provide feedback within 3 business days. Once this process is complete, an updated version of the DS with the assigned PPO tracking number will be sent back to the Project Manager for information purposes and future updates.

How to Provide a Monthly Project Dashboard Update

All Project Managers are required to provide monthly updates in order to maintain the timeliness and relevance of Dashboard information. Updates are due on or before the last business day of every month.

If there are no changes to your project, kindly send an email to ppo@queensu.ca to notify us of this.

If there are changes to your projects:

Step 1 Review the information on your Project Summary Data Sheet.
Step 2 Fill out the Monthly Dashboard Update Form.
Step 3 Save the document using the following standardized naming convention:  PPO_[4-digit Project ID]_DU (e.g. PPO_1001_DU).
Step 4

Send the completed form to ppo@queensu.ca on or before the last business day of every month. Please attach any other relevant project documentation (e.g. Risk Register; vendor contract) to the email. The PPO will be responsible for adding all hyperlinks to your Project Summary Data Sheet. Make sure to put "PPO-[4-digit Project ID]:  Monthly Dashboard Update" in the subject of your email.
