Project Status Reporting

Status reporting is a key responsibility of project management.

All Project Managers are required to comply with two reporting requirements as described below.

1. Monthly Dashboard Updates

These are submitted to the Project Portfolio Office to ensure the accuracy of project information on the PPO Dashboard. It is the responsibility of the Project Manager to follow the process described on the Dashboard Maintenance Procedures page and report to the PPO on a monthly basis.

2. Quarterly Project Status Reports and Risk Registers

These are submitted to the Project Portfolio Office for consolidation and submission to the Administrative Systems Steering Committee (ASSC) and the Board of Trustees Audit Committee.

All Project Status Reports and Project Risk Registers must be submitted to the PPO on a quarterly basis, no later than the following dates:

  • January 1
  • April 1
  • August 1
  • November 1
Step Action
Step 1 Complete the Project Status Report template.
Step 2 Save the Project Status Report as:  PPO_<4-digit PPO ID>_PSR (e.g. PPO_1001_PSR).
Step 3

Complete/update the Project Risk Register template.

Step 4 Save the Project Risk Register as:  PPO_<4-digit PPO ID>_RR (e.g. PPO_1001_RR).
Step 3 Forward the completed Project Status Report and Project Risk Register to the PPO by email.
Step 4 The PPO will review the documents and submit them to ASSC and the Board of Trustees Audit Committee.
