Generic Use of Class/Program IDs - Meeting Held (Sept 2010)

Objective

Determine how to make the use of Class and Program IDs in our GL sustainable.  Number of available class / program chart fields for future use is shrinking and we will eventually run out of available program and class chart fields.

Discussion

Given the timing of the current budget preparation and the upcoming HR Go Live date, we agreed that to ask departmental administrators to consider a retroactive review of existing Class/Program IDs would not be feasible. 

Conclusion

The working group recommends that, in the new calendar year, Finance should work with administrators in carrying out the following activities:

  • Perform an initial general clean up of current Class/Program IDs
  • Deactivate Class/Program IDs that are not being used (by the originator or any other University unit)
  • Modify current Class/Program ID descriptions using a consistent format
  • Redefine purpose of Class/Program IDs and issue a new communication to the campus community
  • Review new requests and consult with requestor to see if request is deemed necessary – decline request if short term and low dollar
