We are currently experiencing issues loading July activity from the Peoplesoft student system into the Peoplesoft Finance system.

When an internal decision has been made to reallocate revenue from one unit within Queen’s to another unit within Queen’s, and that source of funding cannot be tied back to an external source, it is appropriate to use Account 480001 – Revenue University Funds.
With the Canada Post lock-out, payment delays to vendors and/or individuals in Canada who are not paid by electronic funds transfer (EFT) are inevitable. Overseas and US mail is NOT affected by the Canada Post lockout.

In order to provide Principal Investigators and their delegates with a preliminary project balance prior to the upcoming research year-end deadline of March 31, 2011, Research Accounting will be posting interim research reports to the Queen’s portal by March 15, 2011.
Since HST has been implemented on July 1, 2010, there have still been some instances when departments have applied the GST rebate to purchases instead of the new HST rebate. The old GST rebate on purchases was 67% and the new HST rebate on purchases is 73.77%. The net difference between the two rebates is 6.77%.
This communication is to inform you of a change in University practice for foreign currency transactions. This change is being made to improve the accuracy of the amounts being charged or credited to departments.

Last week we reported that we had encountered an issue where not all transactions had been posted to departments in the month of May. This issue has now been resolved and May is finalized and closed.
The issue of transactions not being posted to departments is still under investigation.
The May ledger is now closed.
The deadline to approve annual reports for NSERC, SSHRC and CIHR was May 28, 2010. As per instructions summarized in an email sent to you on May 17, 2010, the annual reports (Form 300s) must be submitted electronically by the specified deadline.
The Statement of Operations has been improved to start the 2010-11 fiscal year. The report remains largely the same with the improvement being in the way that carryforwards are shown.
All departments should use the on-line journal entry functionality in PeopleSoft. The functionality is easy to use, allows journals to be input into the system on a real-time basis, and allows departments to control the journal description entered into the system.
The April ledger is now closed.
April month end close has been delayed to end of day Monday, 17 May.
Open Carry Forwards trusts have been reviewed and corrected for errors. The Carry Forwards will now reside in surplus/deficit accounts.
The last day for departments to enter journals into April 2010 is 13 May 2010. In the event you have entered an April journal in May in error, the following instructions have been prepared to help you copy the journal and post it into April.
Due to technical difficulties recently encountered, a number of journals did not post as expected over the last couple of days. This matter is expected to be resolved shortly.

On July 1, 2010, the tax system in Ontario is changing. On this date Harmonized Sales Tax (HST) will be in effect and GST and PST will cease to exist.
Downloadable tables are now available to look up codes for the Department, Program and Class fields in the new Chart of Accounts.
Procedures in relation to outbound courier services have recently changed.
Courier charges were processed on Thursday April 1st reflecting most charges incurred through the period between November 2009 and March 2010.
