Finance 101:  Instructor – Terena Grice

This workshop will provide the basics for understanding the university’s financial and procedural policies in relation to processing deposits, invoice payments, reimbursements, and travel expenses. The presentation includes discussion on internal policies and controls, an overview of the PeopleSoft chart of accounts, forms, month-end and fiscal year-end schedules, key links on the Financial Services, website and where to turn for ongoing support and training.

Finance 201: Instructor – Brenda Wood and Martin Galczysnki

This module is designed for anyone who wants to obtain a more comprehensive understanding of how information flows from a department, to a statement of operations, and finally to the financial statement of Queen’s University. 

In this session you will learn what happens “behind the scenes” when financial transactions occur.  For example, what happens when you send that cheque requisition form to Financial Services?  We’ll take you through the process, tell you where things sometimes get delayed, and provide information on why the information we require matters.  From there, participants will receive a “tour” of the Queen’s Financial Statements, and learn how their departmental results fit into the information reviewed and approved by the Audit Committee and the Board annually.

Journal Entry:  Instructor – Terena Grice

The Regular Journal Entry module will demonstrate how to create, edit, modify, delete, copy, submit and post a journal using the PeopleSoft journal entry system.  Presentation includes an overview of the PeopleSoft chart of accounts, source codes, GL workflow, intrafund balancing and recording internal sales, cost recovery and transfers.  Classroom activities include instructor led demo and an opportunity for users to access the system within the PeopleSoft environment.

Research Accounting 101:  Instructors – Louisa Jennings, Mayron Moorhead and Kathleen Clayton

This workshop is made up of two components which are specific to research. The first part of the session will provide a general overview on the various phases of the life of a research project. This part of the training session will cover various topics including project establishment, expense eligibility, financial reporting, audits and monitoring visits, as well as what is required at the end of a project. The second part of the workshop will focus on providing information about the different types of transactions that flow through research projects.

Research Accounting - Interpreting Your Statement of Operations:  Instructor – Diann Andrews

The Research Accounting – Interpreting your Statement of Operations module focuses on the monthly statement of operations report specific to research projects.  Topics include:  how to access the statements; how to read them (both the summary section and the detailed section) with an aim at determining how much funding is left to spend. The module also includes a brief overview of the commitment process as it pertains to its appearance on the Research Statement of Operations.

Statement of Operations:  Instructor – Terena Grice

The Statement of Operations module will provide users with information on how to read their statement of operations specific to operating, ancillary and trust funds. Topics include discussion on month-end and fiscal year-end schedules, an overview of the chart of accounts, how to access the statement of operations, how to use the run control, how to run your report and how to read the statement of operations. Classroom activities include instructor led demo and an opportunity for users to access the system within the PeopleSoft environment. Note. This workshop does not include discussion on the Research Statement of Operations.

Query Viewer:  Instructor – Terena Grice

The Query Viewer module is available to users who have access to the GL Inquiry role.  Query Viewer is a read-only version of Query Manager.  Choose from an existing list of public queries, enter desired parameter field information when prompted, run the query and export the results into Excel.  Learn what queries are beneficial for reconciling the monthly Statement of Operations.  Discover what other queries are available to assist you in your administrative role. Participants will access departmental data based on the user’s current level of security.  If you are new to the GL Inquiry role, please ensure your PeopleSoft Security Access form has been completed, approved by your faculty or school’s business officer and forwarded to Financial Services, 5 working days prior to this workshop. http://www.queensu.ca/financialservices/forms/FIN-FRM-007A-SecurityAccessRequest_2010-07-21.pdf
