Manager Dashboard 

Welcome to the HR PeopleSoft Manager Dashboard tool, a user-friendly way for Queen's Managers to view, manage and analyze information about Direct Reports (employee’s that have a reporting relationship to the Manager). Access is granted automatically to active employees who have direct reports, and sign in is simple, just log in to MyHR! The below information is available for your reference to get you started.

Features

The Manager Dashboard gives the user secure, online access to valuable information about their direct reports.

Appointment details
See appointment details such as job title, salary grade, compensation rate, start date, expected job end date, original hire date.

Compensation details
Get compensation details such as actual salary, grade, step, and compensation rate, and the salary grade minimum and maximum.

Compensatory Time
Review employees earned vacation, overtime and other compensatory time balances.

Contact Information
Have access to employees email address, department, mobile phone, home phone, and emergency contact information.

Talent Summary
A collection of talent management information including: years of service at Queen’s, years in current position, career history, licenses, certifications and education, base salary history and current salary.

Below is a list of common questions about the tool.

Dashboard Features
  1. What are Alerts and what appears in this area?
    The Alerts pagelet displays the employee’s expiring licences/certificates and memberships. Only expiring licences, certificates and memberships that have been entered into HR PeopleSoft will appear on this screen.
     
  2. I would like to start adding Licenses/Certificates and Memberships information to my employee record– how do I do this?
    The recording of licences and certificates is currently used for academic positions and is maintained by the applicable Faculty Staffing Officer. The option to enter licences and certificates for staff will be available with future updates.
     
  3. The Licenses/Certificates and Membership alert information is not correct – how do we update this?
    Please contact your Faculty Staffing Officer and inform them of the corrections required.
     
  4. On the Job Details tab what does the Original Hire date reflect?
    The original hire date is the date that the employee was first hired by the University.
     
  5. On the Job Details tab what does the Position Start Date reflect?
    The date in position start date is the start date in the employee’s current appointment.
     
  6. On the Job Details tab what does the Expected Job End date reflect?
    For term and contract appointments, the expected job end date is the last date of employment in the position/job. Continuing appointments do not have an expected job end date.
     
  7. What is displayed on the Talent Summary Pagelet?
    The Talent Summary pagelet provides a collection of information including Career History, Licenses and Certifications, Education, Base Salary History and Current Salary.
     
Understanding Your Data
  1. Why do some employees not have a position number?
    Employees are hired into either positions or jobs. Some employee classes such as staff and faculty positions have position numbers. Whereas other employee classes such as casuals, term adjuncts, postdoctoral fellows and interns have job codes.
     
  2. Why does my employee have an end date when I thought they were in a continuing appointment?
    Please contact your HR Advisor to confirm whether the appointment is set-up correctly.
     
  3. Why is the job end date blank?
    Employees in continuing appointments do not have a job end date. If your employee is on a contract or term appointment please contact your HR Advisor to confirm whether the appointment is set-up correctly.
     
  4. The emergency contact name and number are blank– how can this information be added?
    This information is added directly by employees through the MyHR Self Service portal. If the information is blank, please ask your employee(s) to update their emergency contact information.
     
  5. The Compensation tab shows the wrong grade, step or salary for my employee – how is this corrected?
    Please contact your HR Advisor to confirm whether the compensation information is set-up correctly. If there are errors, the HR Advisor will initiate the corrections.
     
  6. Why does the Compensation tab show no grade, step or salary for my employee?
    Some employee classes such as staff have a grade, step and salary tied to the position. However, other employee classes such as faculty and casuals do not have a salary step.
     
  7. Time tab is displaying an incorrect balance in vacation, OT or Travel Credit
    Please contact your HR Advisor to confirm whether or not the compensatory time information is correct. If there are errors the HR Advisor will recommend how to initiate the corrections. You can also review your staff’s vacation in more detail by running the vacation balance report, which can be requested from your department administration.
     
Submitting Data Update Requests
  1. I am looking at the ‘Direct Line Reports and I expect to see one of my direct reports who is not there – how do I correct this?
    Please complete the Position Change Request form and submit it by email to hrcst@queensu.ca. A member of the Client Services Team will make the required updates and once completed, the employee will appear in the Direct Line Report pagelet of the Manager Dashboard.
     
  2. I am looking at the ‘Direct Line Reports’ pagelet and I see someone there who does not report to me – how do I correct?
    Please complete the Position Change Request form and submit it by email to hrcst@queensu.ca. A member of the Client Services Team will make the required updates and once completed, they will no longer appear in the Direct Line Report pagelet of the Manager’s Dashboard.
     
  3. I am looking at the ‘Direct Line Reports’ pagelet and I see someone who has terminated from the university – what do I do?
    Please complete the Termination Form and submit it by email to hrcst@queensu.ca. A member of the Client Services Team will terminate the appointment and once completed, they will no longer appear in the Direct Line Report pagelet of the Manager’s Dashboard.
     
  4. The position/job title for one of my employees is incorrect, how do I fix it?
    Please complete the Position Change Request form and submit it by email to hrcst@queensu.ca. A member of the Client Services Team will make the required updates and once completed, the position/job title will appear in the Manager’s Dashboard.
Access to Manager Dashboard
  1. How can I get access for Manager Dashboard?
    The Manager Dashboard is a tool for individuals within the organization that have managerial responsibilities over employees. Access is automatically granted based on the reporting structure that has been entered into PeopleSoft. If you don't have access to the Manager Dashboard, and you have employees that report directly to you, please complete the Position Change Request form and submit it by email to hrcst@queensu.ca. A member of the Client Services Team will make the required updates and once completed, your access to the Manager Dashboard will automatically be granted.
     
  2. How can I designate my admin person access to the Dashboard for my employees?
    The Manager Dashboard is a tool for individuals within the organization that have managerial responsibilities over employees. It is expected that managers periodically review the data so they are aware of the employment information as it pertains to their employees and to ensure its accuracy. The system is not configured such that Dashboard access can be delegated to any other individual. If you require assistance in accessing/navigating the Dashboard, please refer to the Manager Dashboard reference guide or contact your HR Advisor.
