FedDev QUARC Reporting Requirements

FedDev Queen's University Applied Research and Commercialization Initiative (QUARC) is a new funding opportunity which encourages Industry-University Collaborations specifically between small to medium enterprises (SMEs) and researchers. Funds will be provided to conduct pre-commercialization activities that will help to move innovative practices, processes, and products to market. Projects must be completed and funds expended by March 31, 2012. The 2010 competition for funds is now closed. Successful projects and recipients will be announced by the Minister of Industry in late winter.

• SMEs and Researchers are required to submit monthly and final reports as follows:

Monthly Project Reports:

Schedule 1 - Monthly Progress Report

This report is to be prepared in collaboration with the SME and submitted jointly to Queen’sby the 3rd working day of each month, for the activities undertaken in the previous month, including the final month of the Project.

Schedules 2 A, B and C – Monthly Expense Reports

Queen’s Schedule 2Ais to summarize Project activities and wages by Queen’s employee and is to be submitted to Queen’s by the 7th working day of each month.

SME Schedule 2Ais to summarize Project activities and wages by SME employee and is to be submitted to Queen’s by the 7th working day of each month.

Schedule 2Bis to summarize total monthly project expenses incurred.

Schedule 2C is to summarize total monthly project expenses actually paid.

Schedules 2B and C shall be prepared in collaboration with the SME and submitted jointly to Queen’sby the 7th working day of each month, for expenses incurred (2B) or paid (2C) in the previous month.

Monthly expense reports shall also include appropriate evidence to support submission of eligible Project expenditures.

Annex 4 & Appendix C- Operating Costs for Use of Lab Equipment in QUARC Projects

SME Annex 4 is to attest that charges for equipment use are comprised of eligible expenses only.

Queen's Appendix C is to attest that charges for services or equipment access are comprised of eligible expenses only.

Final Project Reports:

Schedule 3 - Final Project Report

This report is to be prepared by the SME, with input from the Principal Investigator from Queen’s, andsubmitted by the SME to Queen’s by the 10th working day following completion of the Project OR by April 8, 2012, whichever date is sooner.

Schedule 4 - Final Expense Report Summary

This report is to capture all paid expenses and actual contributions. The report is to be prepared in collaboration with the SME and submitted jointly to Queen’s no later than 60 days following completion of the Project.
