How to Set Up LDAP in Outlook 2010


LDAP stands for Lightweight Directory Access Protocol.  It is used to look up email addresses from an online source.  In this instance the Queen's LDAP server.  Everyone at Queen's will be listed in the Queen's LDAP Directory unless they have set their privacy settings not to list their email address in the Queen's directory.


Follow the instruction below to configure Outlook 2010 to use the Queen's LDAP directory.

  1. Launch Outlook 
    • Click the File tab
    • Select Info
    • The Account Information will be displayed.
    • Click on the drop down button labeled Account Settings
    • Click on Account Settings ... Add and remove accounts or change existing connection settings. 
  2. The Account Settings screen will open 
    • Select the Address Books tab
    • Click the New... button

  3. The Add New E-mail Account screen will open 
    • Click the radio button beside Internet Directory Service (LDAP)
    • Click the Next button

  4. The Change E-mail Account screen will open 
    • In the Server Name:  dialogue box enter addressbook.queensu.ca
    • Click  the More Settings... button

  5. The Add E-mail Account warning screen will be displayed.  This is telling you the changes you are making will not take effect until your restart Outlook. 
    • Click the OK button

  6. The Microsoft LDAP Directory screen will open 
    • Click the Search tab to open it.
    • In the box labeled Specify the maximum number of entries you want to return after a successful search: enter 350
    • In the Search Base section click the radio button beside Custom and in the dialogue box enter ou=people, o=main,dc=queensu,dc=ca 
    • Click the OK button

  7. To complete the setup click the Next  button, then click the Finish button, then close the Account Settings window.  
  8. Exit Outlook by choosing  Exit from the File menu and then restart Outlook to use the LDAP Address Book 

To Use the LDAP Directory Service in Outlook 2010

Once you have restarted Outlook you will be able to use the LDAP directory service to look up email addresses for people at Queen's University.

  1. When you are composing a new message, you can click the To Button button to open the Select Names Window.  
    • From the Address Book drop down menu make sure that addressbook.queensu.ca is selected
    • In the Search: field enter the name of the person you are looking for.
    • Click the Go button to start your search.
    • Your results will be displayed in the window.
    • You can select the person you want, double-click on their name, and their email address will be added to the To -> address line. You can repeat this step as often as you like.
    • You can also click the name of the person you are looking for and click the  To Button or  CC Button or  BCC Button button to have their information copied the appropriate field.   You can repeat this step as often as you like.
    • Click the OK button when finished to return to the message window.
