Configure Outlook 2010 using POP

 

Queen's email for Faculty, Staff, and Grad Students is moving to Microsoft Exchange. POP configurations will no longer be supported. IMAP configurations will continue to be supported however IMAP will not allow for the full integration of MS Exchange We recommended that once your account has been migrated to the Exchange server you configure MS Outlook 2010 to enjoy the full integration of Email, Calendar, Contacts, and Tasks. For details see theEmail and Calendar for Staff, Faculty, and Graduate Students.

 

  1. Start Outlook.  If this is the first time you have started Outlook theStartup Wizard will begin 
    • Click the Nextbutton
  2. The Account Configuration screen will open 
    • Click the radio button beside Yes to configure an E-mail account
    • Click the Nextbutton
  3. The Add New Account Auto Account Setup screen will open 
    • Click the radio button beside Manually configure server settings or additional server types
    • Click the Nextbutton

  4. The Add New Account Choose Service  screen will open 
    • Click the radio button beside Internet E-mail
    • Click the Nextbutton

  5. The Add New Account Internet E-mail Settings screen will open 
    • In the Your Name: box enter your real name
    • In theE-mail Address: box enter your Queen's email address
    • From the Account Type: drop down menu select POP3
    • In the Incoming mail server: box enter mail.queensu.ca
    • In the Outgoing mail server (SMTP): box enter mail.queensu.ca
    • In the User Name: box enter your NetID
    • Uncheck the box beside Remember password
    • Click the More Settings...button

  6. The Internet E-mail Settings screen will open 
    • On the General tab
    • Enter your Queen's email address
    • In the Reply Email: box enter your Queen's email address
    • Click the Outgoing Server tab
  7. On the Internet E-mail Settings Outgoing Server tab
    • Check the box beside My outgoing server (SMTP) requires authentication
    • Click the Radio Button beside Use same settings as my incoming mail server
    • Click the Advancedtab
  8. On the Internet E-mail Settings Advanced tab

    Note: If you office is located in Kingston General Hospital (KGH) or Hotel Dieu Hospital (HDH) do not change the defaults in this section. KGH and HDH do not support SSL and SMTP Authorization.

    • In the Incoming server (POP3): box enter 995
    • Check the box beside This server requires an encrypted connection (SSL)
    • In the Outgoing server (SMTP): box enter 465
    • From the Use the following type of encrypted connection:drop down menu select SSL
    • Set the Server Timeouts to about 5 minutes
    • Check the Box beside Leave a copy of messages on the server.  This will allow you to check your email from multiple locations.
    • Check the box beside Remove from server after and select the number of days you think is appropriate.  This will erase email from the server (as in our screenshot) 14 days after it has been read.
    • Check the box beside  Remove from server when deleted from 'Deleted Items'
    • Click the OKbutton

  9. The Add New Account Internet E-mail Settings screen will re-open 
    • Check the box beside Test Account Settings by clicking the Next Button
    • Click the Nextbutton

  10. The Internet E-mail screen will open 
    • Enter your NetID
    • Enter your Password
    • Click the OKbutton
    • Note:  you will need to complete this screen twice - once for the incoming mail server and once for the outgoing mail server

  11. The Test Account Settings screen will opn 
    • Your results should show a status of Completed for both servers.  If you had errors close the test box and return to Step 5 above to check your settings.
    • Click the Closebutton

  12. The Add New Account Congratulations ! screen will open 
    • Your email account is now ready to use.
    • Click the Finishbutton
