Managing Your Junk Folder Using The Outlook Web App

This tutorial teaches you how to manage your junk emails in the Outlook Web App


Accessing Block or Allow Lists

The Block or Allow feature in Outlook allows you to choose what incoming mail should be sent directly to your Junk Email folder. You can filter by specific senders or entire domains (For example @queensu.ca is Queen's University's domain). Keep in mind the Network Administrators have pre-defined filters for all incoming mail in Exchange, so any senders you add to the Block or Allow lists will be in addition to the filters at the network level.

  1. In the upper right hand corner of the Outlook Web App click Options
    • Select See All Options... from the drop down menu
    • Select Block or Allow from the pane on the left

  2. From here you can see all you Junk Email Settings (including your Safe Senders List and Blocked Senders List)
    • Check Automatically filter junk email to set your filters for your junk email
    • Checking the Don't move email to my Junk Email folder will ignore changes to your Safe Senders and Recipients list and Blocked Senders list.

Safe Senders List

Note: External address that are added to this list won't stay added until the old (JES) email service is permanently retired in Spring 2013.

The Safe Senders and Recipients list is used to identify incoming email that is considered to be safe. Any sender or domain you add to the list will be treated as a Safe Sender. Any and all mail sent from these senders will be sent to your inbox. Note that senders from the Queen's University domain are automatically treated as safe.

  1. Check the box  Trust email from my contacts.  This  will treat any incoming email from anyone on your Contacts list as safe.
    • All email sent from any of your contacts will be sent to your inbox.
    • To add someone to your Safe Senders and Recipients list, type an email or domain name into the box and then click the Add button (the green plus sign button).

Blocked Senders

The Blocked Senders list is used to filter incoming emails. Any sender or domain you add to the list will be treated as a Blocked Sender.  Any and all email sent from these senders will be sent to your Junk Email folder. You can add and remove names and domains to the list the same way you would do the other lists.
  1. Check the box beside Don't trust email unless it comes from someone in my Safe Senders and Recipients list or local senders. If you check this option then only email sent from senders identified in your Safe Senders and Recipients list will be sent to your inbox. All other email will be sent to your Junk folder.
    • Note that after checking this option, senders in the Global Address List will be identified as Safe Senders.
    • To add someone to your Safe Senders and Recipients  list, type an email or domain name into the box and then click the Add button (the green plus sign button).
