Queen's Email Upgrade to Microsoft Office 365 

What to do before the upgrade

There is nothing users need to do to prepare for the upgrade.

We recommend that if you are using an email client (e.g. Microsoft Outlook, Apple Mail), you shut it down before you leave work the day before your account is to be upgraded. This is only so that you will not be confronted with an error message when you return to work the following day; forgetting to do this will not cause any problems.

What to expect during the upgrade

Outlook Web App

Access to your email and calendar will be available throughout the upgrade by accessing the Outlook Web App at https://qwa.queensu.ca.

  • When you log in to the Outlook Web App after your account has been upgraded, you will notice that the interface has been updated from Outlook 2010 to Outlook 2013. The "look and feel" will be different, but the functionality is the same.
  • The new url is https://office365.queensu.ca

Outlook Email Client

  • If you are using an Outlook email client (Outlook 2013/2010 for Windows, or Outlook 2011 for Macintosh) when your account is upgraded, you will experience a brief service outage of 2-3 minutes. You will then get an error message prompting you to close and then relaunch Outlook. Make sure you let Outlook stay closed for at least 10 seconds before you reopen it to give it a chance to completely shut down. If you relaunch it too quickly, you may be prompted to close and reopen more than once.

Mobile Devices

  • If you are trying to access your email using a mobile device, it will not work after your account has been upgraded until you reconfigure your device. See our Configure Your Mobile Device tutorials for information on how to do this.

What to do after the upgrade

Following the upgrade, users may have to do some things depending on how they access their email and calendar. Please consult this table to see what you need to do:

Email Access Method What You Need To Do

Microsoft Outlook Client (Outlook 2013/2010 for Windows, Outlook 2011 for Macintosh)

    • If you closed your email client before leaving work the day before your upgrade, all you will need to do is reopen it when you return to work.
    • If you left your email client open, you will be confronted with an error message when you return to work prompting you to close and then relaunch Outlook. Make sure you let Outlook stay closed for at least 10 seconds before you reopen it to give it a chance to completely shut down. If you relaunch it too quickly, you may be prompted to close and reopen more than once.

    Apple Mail

    • If you use the Mail client for Macintosh, you will need to reconfigure it after your account has been upgraded. Please see the Apple Mail tutorial for assistance.

    Mobile Devices

    • If you are currently using a mobile device to access your email and calendar, you will need to reconfigure your email account on your mobile device after your account is upgraded. The recommended method is to delete your existing account and then re-add it, using the instructions in the configuration tutorial for your device.
    • BlackBerry users who are using a version of the BlackBerry operating system earlier than BB10 will need to contact the IT Support Centre (ITSC) after their account has been upgraded in order to receive a new BES activation code. Please see "Help & Support" below for information on how to contact the ITSC.

    IMAP Configuration

    • If you use an IMAP-configured client, you will need to reconfigure it after your account has been upgraded. Please follow the IMAP tutorial for your client.

    Shared Mailboxes

    • If you access a shared mailbox through Outlook, you should verify that it is working after the upgrade to Office 365 is complete.
