All Shipments entering Canada must be cleared through Canada Border Services Agency (CBSA) prior to their delivery to the University. PERSONAL SHIPMENTS ARE NOT TO BE ADDRESSED TO THE UNIVERSITY. For customs purposes, a Commercial Invoice is to be attached to the carrier's waybill. The vendor must reference Queen's University's purchase order number and/ or chartfield numbers on the invoice along with the Country of Origin for each item. (The country of origin refers to the country in which the item was manufactured, not just where the item is coming from. (ei, the country of origin is not Canada unless the item was MADE in Canada.)
When you place an order internationally using your Queens University Procurement card you must decide how you would like to have the shipment delivered. Below are some tips to aid you in the process.
You must also have the shipper indicate your chartfield in the reference field of the waybill.

If you are not in a hurry, then you should use U.P.S Ground. This method takes 3-4 days for delivery depending on destination. Florida or California may take 7-10 days. You cannot use this method for dangerous goods or perishables. When importing perishable and other time sensitive shipments, please follow the steps listed .
We suggest that when ordering from international companies within a 1000 mile radius, you should use UPS whenever possible. Federal Express or another air courier should deliver anyplace further, preferably Federal Express.
When you are ordering human tissue or animal tissue, you will need a permit to import . Similarly, there are different steps to be taken when importing plants or other things under the Plant Protection Act. The permits are available by going to the Canadian Food Inspection Agencysite. An air courier always delivers these types of shipments.
When you are shipping internationally, you must complete an export documentation questionaire . There is a 3-day "turnaround time" as we require the help of our customs agent to complete this process. Please fax your request to the Queen's Customs and Traffic Coordinator @ 533-2579.
If you are ordering a large piece of equipment, it should be delivered by truck. We have accounts with several companies. Account numbers are listed below.
A commercial invoice should accompany all international shipments. A Copy of this invoice must also be faxed to the Customs and Traffic Coordinator @ 613 533-2579 to the attention of Ruth Lappan.
Thompson Ahearn & Co., Ltd. is our customs broker. They will clear all shipments for Queens University. Thompson Ahearn invoices GST on international shipments. If there are duty charges, Thompson Ahearn invoices Queens University for these as well. Contact information for the broker is:

YOU MUST OBTAIN A USERID AND PASSWORD TO SHIP ON LINE WITH THE COURIER COMPANIES by contacting the customs and Traffic Coordinator.
You also must indicate your chartfield in the reference field when shipping on line e.i xxxxx-xxxxx-xxxxxx-0-0-0 for the charges to be charged to the correct account.
When ordering Internationally you must tell the Vendor to indicate your chartfield in the reference field of the waybill for billing purposes.
