Template-Based Hire is a new process that provides a template for entering job data and personal employment details directly into the system for a hire or rehire, providing a consistent format for required input.
In tandem with the Contract Hire System, which will be used to hire students, researchers and casuals, the Template-Based Hire process will be used to hire all other Queen's University employees and contingent workers.
The Human Resources Department will continue to centrally process staff hiring using the new PeopleSoft Hire system. Faculty hiring templates will be decentralized to Faculty Staffing Officers. Department administrators will use the templates to process employment arrangements that are already decentralized including casuals, student contracts, research staff, academic assistants.
The Template-Based Hire features will:
- help streamline the hiring process, as data entry will now be completed just once, at the source, without hindering workflow
- allow Human Resources Department and other users to enter and save employment information in the system database in advance but not process it until the proper date
- allow users to choose details on the position or job from lists of valid values, reducing the risk of miscommunication
- reduce the overall amount of data that must be documented manually through pre-defined defaults , making the process of hiring less time consuming and more accurate
A unique feature of Template-Based Hire includes auto-termination, where the job-end date determines when an employee's access and privileges become inactive. This feature saves further data entry and ensures that all actions are implemented promptly. Furthermore, additional pay and benefit program eligibility based on business rules will now be automated, not only saving paper, but also increasing efficiency.
