How to order a Transcript



Please note that transcript orders received before 9:00 p.m. EST are processed by the Office of the University Registrar (Records and Services) within 3 to 4 business days. 

The Office of the University Registrar will be closed between 12:00 p.m. EST on December 24th and 8:30 a.m. EST on January 5th.


Transcript orders placed via the SOLUS Student Centre by 9:00 p.m. EST on December 19th will be processed in advance of the closure. Orders placed after this time will be processed by our staff upon their return and may take 3 to 5 business days.


If you plan to order your transcript for same day pick up service we are happy to provide this service up til our closure on Dec 24th.  You may do this by coming into our office and placing your order by completing a form (not ordering via SOLUS).  Payment options are cash, cheque or debit.


Note:  Fall term grades will appear on official transcripts beginning January 12th.

  • Ordering Policy

    Your transcript is a confidential document. To ensure your records are kept secure, your signature is required for verification purposes.


    If you are ordering online, your NetID and password are required before copies of your academic record can be released.


    For that reason, we are unable to accept transcript requests via e-mail, and to maintain the security of your transcript, we are unable to send your transcript by e-mail or facsimile.


    All transcripts will either be held for pick-up or sent by regular mail.


    NOTE: if you are picking up your transcript, you MUST show Photo ID before it will be released to you.

    Transcripts picked up on your behalf MUST be accompanied by a written letter of authorization, signed and dated by you. The name of the person authorized to pick up the transcript MUST be included on the letter and they must be able to provide Photo ID to verify their identity.


    Please be aware that the Office of the University Registrar assumes no liability for transcripts that have been sent by regular mail which are not delivered to their intended address. In such cases, the student assumes responsibility, and any replacement transcripts requested will be subject to the stated standard rate of $15.00 per copy.

  • Ordering online via the SOLUS Student Center

    Transcripts can be ordered through the SOLUS Student Center, with payment being made by credit card. 

    Your Web Browser


    SOLUS is a web-based application, which means you access it through an Internet browser. Not all web browsers are supported by SOLUS, and use of a non-supported browser could result in the loss of data or denial of specific services.


    To get the most of SOLUS, we recommend use of the following web browsers:


    • Microsoft Internet Explorer (IE) for PC
    • Mozilla Firefox (Mac and PC)
    • Apple Safari (Mac)


    Use of other non-supported web-browsing programs (such as Google Chrome) may lead to a loss of user application data (e.g.:Applications to Graduate).

    Accessing the SOLUS Student Centre  

    1. Go to the MyQueens Portal at


    2. You will be asked for your NetID and Password – if you don’t have one, please click on the link below the login fields and you will be assigned one

        ( You will need to provide your Student ID Number and Birthdate to complete that process).


    3. Once you have your NetID and Password, you can login to the system.


    4. You will be taken to a new page with 'MyQueensU' appearing in large letters in the banner area.


    5. Below the menu bar there is another bar, coloured grey. On the far right hand side, you will find a red icon with 'SOLUS' appearing in white lettering. You will need to click there.


    6. You will navigate to a new screen, where your SOLUS Student Centre profile will open.




    If you are employed by Queen's either as a regular staff member, or as a graduate student working as a Teaching Assistant, the red 'SOLUS' icon will NOT appear in the MyQueen's Portal.


    To access your SOLUS Student Centre profile, you will first have to click on the menu item labeled "My Applications." You will be directed to a new page, with a section  titled 'PeopleSoft Resources'.


    Click on the link labeled 'Student / HR Self Serve (PRD).' This will take you to your SOLUS profile.



    Ordering your Official Transcript via SOLUS  



    You are now in the main page of your profile - you should be able to see the title "Welcome to SOLUS - [Your Name's] Student Center


    You should be able to see a section labelled "Academics" - in this section, click on the dropdown menu titled "other academic..."





    Select the item labelled "Transcript: Request Official", then click on the 'double-arrow' icon to the immediate right





    You will be asked for a Processing Option. The three choices are:

    • Immediate Processing- whereby your transcript will be printed immediately whether or not recent grades have been posted
    • Grade Posting- whereby your request is held for printing until AFTER the official marks release date; and,
    • Degree Confer date- where the request is held and printed AFTER a degree is awarded, thereby ensuring that the degree will appear on the transcript

    Select the quantity of transcripts being ordered. Each transcript costs $15.00.






    Here, you can choose the mode of delivery:

    • By mail- your transcript will be sent by regular mail. No phone number is required and no additional charges will apply.
    • By Courier- your transcript(s) will be sent via FedEx. A phone number is required. Please refer to our Transcript and Courier Charges page for costs.
    • Pick-up in person at Gordon Hall, Room 125 - your transcript will be ready for pick-up. No additional information is required.





    Enter the destination information, including Institution / Agency name , phone number, and any Application / Reference Number being used by the organization receiving the document.


    Please note that if you are choosing the courier option, you will need to fill in these details.


    Next, enter the address where the transcript(s) is being sent. You may enter an address for an Institution / Agency, or choose to have the document sent to your address. If you are having the transcript sent to your address, please ensure that your contact information in SOLUS is correct. Out of date or incorrect address information can delay receipt of your order.





    On this page, you will be asked to review your order information, including:


    • the number of transcripts requested;
    • the destination(s) entered; and,
    • the total amount of charges incurred (including courier, if applicable)

    If you are satisfied with the information, click on 'Process Request'. If you wish to add more transcripts to your order or cancel your order, you may also select the applicable icons.





    The charge for each transcript is $15.00, excluding courier rates. Payment is accepted by credit card (Mastercard, Visa) via a secure payment partner. 

    This completes the transcript ordering process via the SOLUS Student Center.


    Please note that orders may take 3-4 business days for processing by our office, and that tracking information for orders is only available to those who choose to send by courier.

  • Ordering by mail

    Please print off the transcript request form, complete it, sign it and return it to us along with your payment.

    • Include a cheque or money order made payable to Queen's University and record your student number on the face of your payment; transcripts are $15.00 each.
    • SORRY - NO CREDIT CARD PAYMENTS ARE ACCEPTED FOR MAIL REQUESTS. At this time, credit card payments are only accepted if ordering on-line via SOLUS.

    Our office hours are Monday to Friday


    • September to May - 8:30 to 4:30
    • June to August - 8:30 to 12:00 noon and 1:00 to 4:30.


    We are closed the 1st and 3rd Thursday of each month until 10:00 am for staff meetings and on statutory holidays.



    What do you need to order your transcript?


    • NetID and Password
    • Student number
    • Complete address or addresses of where you would like your transcript(s) sent
    • Street address (no PO boxes!) and phone number if ordering by courier!
    • Valid photo ID


    How do you place your order?

    • We have computers set up for students to order via the Student On-Line University System (SOLUS)
    • Payment is made by credit card
    • If you wish to make payment by cash, debit, money order or cheque you may complete the request form available in our reception area.


    When will your transcript be ready?


    • Are you waiting for marks or your degree to show? Please check marks release dates before ordering
    • Records prior to 1975 may be on roll film or microfilm, and may take 5 to 10 business days to process. These must be ordered through the Reception Desk staff.
    • Ordering for pick-up - we will print this while you wait (Please note, however, in order to receive a transcript immediately, you will need to pay by cash or debit. Credit cards cannot be accepted at the front counter).

      Please note that if you use the mailing form or order via SOLUS, and indicate 'pickup', your order will be ready in 3 to 4 business days
    • Sending by regular mail - will go out in the mail in 3 to 4 business days
