Special Purpose Committee on Council Engagement

  1. Mandate

    To provide strategic oversight regarding the development of initiatives intended to gain a better understanding of Councillors’ current engagement interests and priorities, professional skills and experiences, and preferred communications methods with the intention of:

    1. Identifying and prioritizing issues and/or opportunities where Councillors have expressed interest in increasing their engagement, and what types of skills or expertise may be required; and,
    2. Creating a University Council communications strategy, including the frequency, format, and content of communications from the University and between Councillors throughout the year.
  2. Composition

    1. Five members of the University Council, at least of one of whom is also a member of the Executive Committee.   The Committee will elect a chair from among these members.
    2. The University Secretary and University Council Secretary as non-voting resource persons.
    3. The Executive Committee Secretary will serve as secretary to the Committee.
  3. Responsibilities of Committee Members

  4. Committee members will provide strategic-level advice on the development of initiatives related to the above mandate statement by seeking input and ideas from related stakeholders. It is anticipated that the Committee will meet approximately four times during its mandate.

    Committee members are expected to participate in meetings, either in person or telephonically, and to engage with each other and the University Secretariat via email between meetings.

  5. Responsibilities of the University Secretariat

  6. The University Secretariat assumes all administrative responsibilities including scheduling meetings, preparing agendas and minutes, maintaining a workplan, and conducting research on behalf of the Committee.

    The University Secretariat retains responsibility for implementing all surveys or other assessment tools, engagement opportunities, and communications strategies, to ensure these are feasible within the limits of the University’s resources.

  7. Reporting

  8. The Committee will produce an interim report on its activities no sooner than six months into its mandate. A final report will be submitted to the Executive Committee upon completion of the mandate.
