QShare file storage and sharing service to be decommissioned

IT Services is promoting the use of Office 365 among other alternatives as the university modernizes our document management and distribution services, along with extending our collaboration solutions. Modernizing our environment involves the decommissioning of unsupported tools in order to prevent security or operational risks presented by maintaining an unsupported application. One such unsupported tool is QShare.

What does this mean for me?

Any files currently stored within QShare will need to be migrated to other applications. IT Services offers a number of secure, supported applications that work as alternatives to QShare. To help you identify a supported solution that best fits your needs, IT Services has developed a tool located on our Selecting a QShare Alternative page.

When do I need to have my content moved out of QShare?

By Aug. 31, 2019, at a minimum, you should have an alternative tool selected and any of your processes that previously utilized QShare should be updated to reflect the new tool.

On Oct. 31, 2019, QShare will no longer be accessible. This means that you will not be able to log in to the service or retrieve any remaining documents. It is imperative that all relevant content is moved out of the service prior to this date to avoid data loss.

A note on Queen’s record retention policy for electronic records

Electronic records are records that require a device or technology for their transmission or processing. Most records we encounter today are digital; such records include those created using office productivity tools such as MS Word documents and Excel spreadsheets. Electronic records also include audio and video recordings. Both hardware and software concerns need to be considered when storing electronic records. Please consult Queen’s University’s Fact Sheet on Storing University Data for more information.
