HR PeopleSoft Employee Data Tiles

With MyHR, we are always looking for ways to improve the user experience of our HRPS users and assist in finding the components and screens needed. With the popularity of Job data and other employee data screens, we will be introducing a new addition to the tile collection, called the “Employee Data” tile.

It will contain screens such as:

  • Job Data, Multiple Job Summary
  • Personal Information Modify a Person, Additional Names

If a particular PeopleSoft screen or report you are searching for is not located in any of the tiles on your homepage, please use the Navigator located in the Navigation Bar. The Navigator serves as the main menu in MyHR PeopleSoft.

  1. Click the Navigation Bar, a Compass-like icon located on the top-right of your homepage, to open the list of navigation options.
  2. Click “Navigator”

A guide for Navigating and Personalizing HR PeopleSoft, as well as additional information on other features, is available on the HR PeopleSoft website.

Early Payroll Cut-off in May

Please take note of the early payroll cut-offs in May.

For casual employees

  • May 28th pay day (May 2nd to May 15th) cut off is Monday, May 17th at 4:00 p.m. 

For bi-weekly CUPE 229 employees

  • May 28th pay day (May 9th to May 22nd) cut off is Monday, May 17th at 4:00 p.m.

Important deadline for July 1 Offers and Renewals

Your HR Representative will need additional time to complete the significant number of employment activities required to process before July 1 (i.e. offer letters, salary changes, manage hires and appointment renewals). Processing July renewals in June is necessary to prevent employees from losing system access. Last year, there were several reported cases of lost system access.

To avoid loss of system access, please ensure academic data sheets, appointment renewal/change forms and student contracts are received before Tuesday, June 15, 2021.

To identify appointments scheduled to expire, run the QU_HR_CONTRACT_EXPECTED_ENDDT query. You will need to enter your Department ID, a ‘from’ and ‘to’ expected end date. There is no requirement to enter an employee class, but you can use this field to filter your results by employee group (i.e. Q17 for Research, Q15 for General Staff).

To access the report, navigate to Reporting Tools > Query Viewer and search by the query name. Users will need Query Viewer and Job Data Read Only roles to run the query. Kindly contact your HR Representative if you require assistance.

Vacation Balances

Departmental Administrators are asked to ensure that employee vacation records are up-to-date in HR PeopleSoft. This is a requirement for audit purposes in order to ensure an accurate accounting of the University’s vacation liability. Vacation time must be entered into HR PeopleSoft once taken.

A query titled “QU_TL_TRC_QRY_DT_RNG” can be used to verify vacation that has been entered for all employees in a particular department. If you need assistance in using the query, contact your HR Advisor or HR Support Representative.

Departmental Administrators can run the Vacation Balance Report to verify vacation balances.  Navigation for this report is Main Menu > Time and Labour > Reports > Vacation Balance Report
