MFA Options

The Microsoft Authenticator App

You can set up an authenticator app to send a notification to your mobile device or to send you a verification code as your security verification method. Install the Microsoft Authenticator app on your mobile device prior to enrolling in MFA, it is available for Android and iOS.

Set up the Microsoft Authenticator App to receive notifications

On the Additional security verification page, select Mobile app from the Step 1: How should we contact you area.

Select Receive notifications for verification from the How do you want to use the mobile app area, and then select set up. The Configure mobile app page appears.

Open the Microsoft Authenticator app on your mobile device, select Add account from the Customize and control icon in the upper-right, and then select Work or school account.

Use your device's camera to scan the QR code from the Configure mobile app screen on your computer, and then choose Next.


 

Return to your computer and the Additional security verification page and ensure you see the message that says your configuration was successful. Then, select Next

The Authenticator app will send a notification to your mobile device as a test. On your mobile device, select Approve.

On your computer, add your mobile device phone number to the Step 3: In case you lose access to the mobile app area, and then select Next.

Adding your mobile device phone number to act as a backup if you're unable to access or use the mobile app for any reason is strongly recommended. Note: Please refer to the video link for steps for setting up Microsoft Authenticator app.

Set up the Microsoft Authenticator app to use verification codes
On the Additional security verification page, select Mobile app from the Step 1: How should we contact you area.

Select Use verification code from the How do you want to use the mobile app area, and then select Set up.

The Configure mobile app page appears.

Open the Microsoft Authenticator app on your mobile device, select Add account from the Customize and control icon in the upper-right, and then select Work or school account.

Use your device's camera to scan the QR code from the Configure mobile app screen on your computer, and then choose Next.

Select Configure app without notifications.

The message changes to Configure app with notifications.

Return to your computer and the Additional security verification page, make sure you get the message that says your configuration was successful, and then select Next

The Authenticator app will ask for a verification code as a test.

From the Microsoft Authenticator app on your mobile device, scroll down to your work or school account, copy and paste the 6-digit code from the app into the Step 2: Enter the verification code from the mobile app box on your computer, and then select Verify.

On your computer, add your mobile device phone number to the Step 3: In case you lose access to the mobile app area, and then select Next.

Mobile Device

If you are unable to install the Microsoft Authenticator app, you can set up your mobile device to act as your MFA verification method. Your mobile phone can either receive a text message with a verification code or a phone call. Note: Please note that the Office phone option is currently not available to be configured in the MFA setup. The office phone of a user is automatically populated from the Queen’s phone directory.

Text Message Phone Call

1. Select the Send me a code by text message option.

2. Enter the phone number with country or region code and click Next.

3. You will receive a text message with verification to the phone number provided. Enter the verification code.

4. Click on verify. You will see a message indicating that the verification has been successful.

5. Click on Done to finalize the MFA setup.

2. Enter the phone number with country or region code and click on Next.

3. You will receive a phone call to the number provided. When you answer, verify yourself by clicking the # key.

4. Click on verify. You will see a message indicating that the verification has been successful.

5. Click on Done to finalize the MFA setup.

Hardware Tokens 

If you do not have a mobile device, you can request a hardware token to act as your MFA verification method.

Please note that the Hardware token is available only to staff and faculty and provided on an exceptional basis.

Set up a hardware token
  1. Tokens are currently mailed to the home address listed in MyHR, ensure that you have updated your mailing address in this system before requesting a token.
  2. If you are an active employee, please submit a Hardware Token Request Form.
  3. You will be notified by email when your token has been shipped
  4. Once you recieve your hardware token you must book a time with an ITS staff member to activate the token.
  5. Once activated, you will be asked to setup an alternate phone number on the security page: https://aka.ms/MFASetup 
  6. You are now setup with a Hardware token and backup phone number
