WebPublish Service Definition

WebPublish is a tool that can be used by Queen's University Departments to create and edit websites.

Advantages of WebPublish:

  • It's easy to keep the Queen's look and feel, while still maintaining a site that's unique to your department.
  • No web development skills are required to use WebPublish.
  • Sites look clean and professional because style templates are built-in.
  • Training to use WebPublish is offered at no cost, through regular IT Services workshops.
  • Dedicated IT Services staff members are available to answer support questions.
  • Online documentation specific to the Queen's environment is provided.
  • Site administration is flexible - multiple levels of access or only a single contributor.
  • The WebPublish theme adheres to the Queen's Visual Identity and Graphics Standards Policy and the Accessible Websites and Web Content section of the Accessibility for Ontarians with Disabilities Act (AODA).
  • WebPublish is a free service for eligible groups.

Getting Started

Who Can Have It?

  • Any Faculty, School, Department or Program at Queen's University is entitled to a WebPublish site. 
  • The following initiatives are also eligible for a WebPublish site: 
    • Research groups; 
    • Labs; 
    • Campus Services (e.g., Financial Services, Career Services, etc.); 
    • Some Departmental and Interdepartmental initiatives. 
  • Student groups and associations are eligible for the service with a full-time faculty or staff sponsor. 
  • Personal web spaces or websites that would otherwise not be hosted on IT Services main web servers are not eligible for this service. 

Are There Any Costs?

  • The basic service is free of charge for eligible groups.
  • Additional storage space is available (fees may apply).

How Do I Make the Site Live?

How Do I Transfer Ownership of a Site / What if the Designated Site Owner Leaves the Department?

  • If you are the site owner and plan to leave your department, you should submit an IT Services Help Form and designate a new site owner.
  • If the designated site owner has left the department without transferring ownership of the site, the department head or ITAdmin Rep can submit an IT Services Help Form and designate a new site owner.
  • The designated site owners must be a full-time staff or faculty member.

How Do I Discontinue It?

  • The department head, ITAdmin Rep or designated site owner may request the deactivation of their WebPublish site by submitting an IT Services Help Form.
  • Deactivated WebPublish sites are retained for a period of 6 months.

Storage Quota

  • WebPublish accounts have a soft cap of 25 GB.
  • If your account exceeds this quota, your site will not be affected. However, you will be contacted by IT Services to arrange for additional storage (fees may apply).

Additional Information

Logging in to your Site

  • Content contributors, administrators and site owners can access their WebPublish site at, where 'abcwww' is the PubID and unique identifier for your site.
    If you are unaware of your site's PubID, contact the owner of the site, ITAdmin Rep or the IT Support Centre.
    Alternatively, you can locate your site by name at Note: a valid Queen's NetID, password, and associated email service are required to access the WebPublish authoring environment.


  • WebPublish meets Queen's Web Standards for Accessibility.

Unsupported WebPublish Content

  • Some types of web content, such as web applications, are not supported in WebPublish. Because of this, WebPublish site owners are eligible for 50 MB of hosted web space.
  • The department head, ITAdmin Rep or designated site owner may request an apps area.

The following file types can be uploaded to WebPublish server:

  • 7z, aiff, asf, avi, bmp, csv, doc, docx, fla, flv, gif, gz, gzip, jpeg, jpg, mid, mov, mp3, mp4, mpc, mpeg, mpg, mpp, mppx, mw, mws, ods, odt, pdf, pez, png, ppt, pptx, pxd, qt, ram, rar, rm, rmi, rmvb, rtf, sdc, sitd, swf, sxc, sxw, tar, tgz, tif, tiff, twb, twbx, txt, vsd, vsdx, wav, wma, wmv, xls, xlsx, zip

File upload Limit

  • The maximum file upload limit is 25 MB.


  • The targeted availability of this service is twenty-four hours a day, seven days a week (24x7).
  • Users of the service should expect occasional but infrequent service interruptions or slowdowns, both planned and unplanned. Please check the IT Services Notification page for information about unplanned service outages.
  • Where it is necessary to schedule system maintenance that necessitates a service outage, IT Services will do this outside of regular business hours whenever possible.
