WebPublish Service Definition

WebPublish is a tool that can be used by Queen's University Departments to create and edit websites.

The WebPublish Service is changing! IT Services in partnership with University Relations is releasing a new version of WebPublish: WebPublish 3.0. The tool will now be offered in three service levels, to meet a broader range of digital publishing needs on campus. As of August 14, 2020, all new sites will be created in the WebPublish 3.0 service offering. For more information on changes to the service, visit our update notes.

Advantages of WebPublish:

  • It's easy to keep the Queen's look and feel, while still maintaining a site that's unique to your department.
  • No web development skills are required to use WebPublish.
  • Sites look clean and professional because style templates are built-in.
  • Training to use WebPublish is offered at no cost, through regular IT Services workshops.
  • Dedicated IT Services staff members are available to answer support questions.
  • Online documentation specific to the Queen's environment is provided.
  • Site administration is flexible - multiple levels of access or only a single contributor.
  • The WebPublish theme adheres to the Queen's Visual Identity and Graphics Standards Policy and the Accessible Websites and Web Content section of the Accessibility for Ontarians with Disabilities Act (AODA).
  • WebPublish is a free service for eligible groups.

Getting Started

Who Can Have It?

  • The WebPublish service is intended for hosting publicly accessible web content that is affiliated with Queen's University. This could range from faculty and departmental websites, to support services, research groups and sites reflecting partnerships with external stakeholders. WebPublish will not be offered in the following cases: 
    • Sites cannot be requested for hosting personal content;
    • Sites cannot be requested for hosting private or internal information requiring access restrictions;
    • Sites cannot be requested for students.

Which Service Level Should I Choose?

  • The WebPublish Service is offered in three service levels. To help with evaluating which is right for you, review their respective service level agreements
    • Basic: The basic service offers a preset template with several modular page layouts to help with formatting your content. All updates and changes are completed by IT Services and no technical expertise is required to maintain a site.
    • Custom (coming soon): The custom service uses the Basic template as a starting point; however, users have the flexibility to make customizations to the look and feel of their site. Some technical expertise is required to maintain the site. 
    • Advanced (coming soon): The advanced service uses the Basic template as a starting point; however, users have full technical control over the site, including installing themes and modules. A full-time web developer is strongly recommended to maintain the site. 

Are There Any Costs?

  • The basic service is free of charge for eligible groups.
  • Additional storage space is available (fees may apply).

How Do I Get It?

  • WebPublish sites can be requested using the Intent to Publish form. The request will be reviewed by the Website Governance Committee, who may have some suggestions and recommendations. The Website Governance Committee is a cross-campus initiative intended to leverage the network of web professionals from across campus to provide collaborative, centralized oversight of the university's public-facing digital properties. They will then submit a request to IT Services on your behalf, where we will provision your account. 

How Do I Make the Site Live?

  • WebPublish go-live requests can be submitted using the WebPublish Go-live Request Form. The request will be reviewed by the Website Governance Committee, who may have some suggestions and recommendations before the site goes live. They will then submit a request to IT Services on your behalf, where we will make your site live at the requested URL.

How Do I Transfer Ownership of a Site / What if the Designated Site Owner Leaves the Department?

  • If you are the site owner and plan to leave your department, you should submit a Request Form and designate a new site owner.
  • If a site owner is no longer affiliated with a site and the responsibility has not been delegated to another individual, ownership will be assigned to the department head. They will be notified, at which point they may choose to delegate ownership to another member of the department.

How Do I Discontinue It?

  • The site owner may request the deactivation of their WebPublish site by submitting a Request Form
  • The site will be taken down from public view and flagged for removal but will remain available in the authoring environment for a period of six months. After six months, the site will be deleted. The site owners will be notified prior to the site deletion.

Storage Quota

  • WebPublish accounts have a soft cap of 25 GB.
  • If your account exceeds this quota, your site will not be affected. However, you will be contacted by IT Services to arrange for additional storage (fees may apply).

Logging in to your Site

WebPublish 2.0

  • Content contributors, administrators and site owners can access their WebPublish site at https://webpublish.queensu.ca/abcwww, where 'abcwww' is the PubID and unique identifier for your site.
    If you are unaware of your site's PubID, contact the owner of the site, ITAdmin Rep or the IT Support Centre.
    Alternatively, you can locate your site by name at https://webpublish.queensu.ca. Note: a valid Queen's NetID, password, and associated email service are required to access the WebPublish authoring environment.

WebPublish 3.0

  • Content contributors, administrators and site owners can access their WebPublish site at https://wp3.its.queensu.ca/abcwww, where 'abcwww' is the PubID and unique identifier for your site. If you are unaware of your site's PubID, contact the owner of the site, contact the owner of the site, ITAdmin Rep or the IT Support Centre. Note: a valid Queen's NetID, password, and associated email service are required to access the WebPublish authoring environment. 

Accessibility

  • WebPublish meets Queen's Web Standards for Accessibility.

Unsupported WebPublish Content

  • Some types of web content, such as web applications, are not supported in WebPublish. Because of this, WebPublish site owners are eligible for 50 MB of hosted web space.
  • The department head, ITAdmin Rep or designated site owner may request an apps area.

The following file types can be uploaded to WebPublish server:

File upload Limit

  • The maximum file upload limit is 2 MB.

Availability

  • The targeted availability of this service is twenty-four hours a day, seven days a week (24x7).
  • Users of the service should expect occasional but infrequent service interruptions or slowdowns, both planned and unplanned. Please check the IT Services Notification page for information about unplanned service outages.
  • Where it is necessary to schedule system maintenance that necessitates a service outage, IT Services will do this outside of regular business hours whenever possible.
