Dear TRAQ administration users,

We would like to provide an update regarding a security update applied late last week by Cayuse, the Romeo (TRAQ) software service provider that changed how the TRAQ system disseminates emails. The TRAQ Team has been in contact with the software provider to understand the change and its effects on our processes and users. Please make sure to read “What you need to do” explained below.

What has happened:

The security update changed all outgoing TRAQ emails to prevent email spoofing and other fishing activity.  Email communications generated from TRAQ are now sent from do-not-reply-queensu@researchservicesoffice.com

Common issues we have identified:

  • Emails may be redirected to the receivers Junk folder.
  • The receiver may not recognize the email address/subject and disregard the notification as false or spam.

What you need to do:

Mark the email safe, so that it is not redirected to your Junk mail folder:

  1. Go to your Junk mail folder and find an email from do-not-reply-queensu@researchservicesoffice.com
  2. Right-click on the email, and scroll down to the Junk mail folder
  3. Click Junk to open the options menu
  4. Click Never Block Sender’s Domain (@example.com) – in this case @researchservicesoffice.com
  5. Find any of these emails currently in your Junk folder, and move them to your Inbox

For more information on this process, visit the Mail goes to the Junk folder by mistake page on the support.microsoft.com  website.

Thank you for your patience with any inconvenience this service change may have caused.

If you have any questions, please contact us at:  TRAQ@Queensu.ca

Thank you,
Your TRAQ Team
