Position Title    
Event Assistant (Casual Position)

Job Summary    
Complete setups/teardowns for events, provide onsite support to clients and assist Event Teams for assigned events

Job Requirements    

  • Set up/teardown equipment and furnishings for events (tables, chairs, podiums, audiovisual equipment)
  • Support Event Services staff as required (help with signage, pick-ups, table-draping, etc.) 
  • Deliver and pick up equipment/supplies from venues across campus ▪ Responsible for daily care & control of event inventory
  • Ability to lift technical equipment and furnishings safely. (Ability to lift up to 50lbs)
  • Cleaning as required (sweeping, mopping, wiping, etc.) before, during and after event
  • Assist the Event Coordination team as required; ensuring that event logistics are completed. This may include client management, food and beverage services, and technical assistance-set up, and room layouts.
  • Communicate with event partners at events as required.
  • Complete administrative tasks outlined by the Event Coordinator team which may include data entry, filing, office documentation and other administrative tasks as required and assigned.

Qualifications    

  • Client-focused, with an enthusiastic and team-oriented attitude
  • Strong customer service, problem-solving, communication skills (written & verbal) and organizational skills
  • Ability to work independently with little to no supervision as well as a team member
  • The ability to work well under pressure and handle stressful situations in a delicate manner
  • Knowledge of Queen’s University building locations, facilities, etc.
  • Previous experience in the hospitality industry or customer service
  • Technical skills (particularly audio visual and classroom presentation technology) would be a definite asset
  • A valid Ontario “G” class driver’s license with a clean driving record, an asset.
  • CPIC & Vulnerable Sector clearance check
  • Smart-Serve certified, or willingness to complete

Hours of Work    
Work shifts will vary, and will include evenings, weekends and holidays. Successful candidates must be able to work flexible hours, with some shifts beginning early in the morning and others ending late in the evenings. There is a four-week probationary period for the benefit of both employer and employee.
 

Reporting    
Reports directly to the Manager with secondary reporting to the Event Coordinators as directed.
 

Compensation    
$17.20 per hour + 4% vacation pay

YOUTH OUTREACH CHAPERONE

JOB DESCRIPTION:

The Youth Outreach Chaperone position is a dynamic role that encompasses elements of supervision and program facilitation. The Youth Outreach Chaperone plays an active role in enriching the experience of participants primarily comprised of Queen’s Engineering Experience program camps (for grades 9-12) by acting as a mentor and primary contact for student participants after their day of classes ends. Youth Outreach Chaperones work directly with participants to ensure an enjoyable experience, actively model leadership, compassion, inclusiveness, and respect, and instill the sense of community that is Queen’s University.

Taking direction from the Youth Outreach Chaperone Supervisor, the Youth Outreach Chaperone is responsible for the supervision and safety of all students attending campus outreach programs while in residence during evening activities, mealtimes and overnight. The Youth Outreach Chaperone will also take direction from the coordinating team to support activities, including planning, overseeing and setting up extra-curricular activities and assisting with associated administrative tasks.

MANDATORY TRAINING:

Week of June 30 – July 4
Details related to training will be provided upon hire. Move in arrangements prior to June 30 are available for interested staff.

CAMP DATES:

First day of camp: July 6
Last day of camp: August 15

Youth Outreach Chaperones are required to be available to lead programming and provide supervision to participants on a rotating on-duty / on-standby / on-call schedule.
• ON-DUTY – chaperone is engaged in or responsible for an assigned task or duty.
• ON-STANDBY – chaperone keeps themselves available for immediate assignment to a task or duty. Employees on-standby between 11PM – 7AM must remain in the residence. Employees on-standby between 7AM – 11PM must remain within 15 minutes of the Queen’s University Campus.
• ON-CALL – chaperone is on call overnight from 11PM-7AM and available to immediately respond to any issues/urgent matters with campers that arise overnight and need to be in their rooms / on the floors at all times)
• OFF DUTY – chaperones are permitted to leave campus when they are off 

RESPONSIBILITIES:
• Supervise, assist, and engage with participants. Remain available to participants while on duty. Oversee all areas of safety and control of participants during extracurricular activities, attending meals or walking to and from program locations.
• Model and encourage positive and respectful student behaviour.
• Monitor the safety and well-being of assigned participants and be aware of their whereabouts at all times.
• Demonstrate and support attitudes and behaviours related to promoting a community and campus that is respectful of diverse identities and backgrounds, and free from harassment, discrimination, and intimidation.
• Ensure students in residence programs are in their assigned rooms at designated times.
• Take a lead role in the event of an emergency, ensuring the well-being of all students and assisting as directed by University protocols and or emergency services.
• Adhere to the Code of Conduct as outlined by Housing & Ancillary Services.
• Work within University policies and take direction, as necessary, from professional staff. Seek guidance from Youth Outreach Chaperone Supervisor as necessary.
• Assist with planning, coordinating, clean-up and program opening and closing procedures for each session.
• Mediate roommate/floor mate conflicts.
• Respond and document violations of Residence Community Standards in accordance with University policy, including: Noise, Alcohol and cannabis related incidents, Inappropriate behavior, Smoking/Vaping
• Front line response to urgent and emergency situations in accordance with University policy; triage escalation as appropriate.
• Document and report facilities issues (including damages).

REQUIREMENTS:

• Available for training and duration of camp season
• Required to live in residence during camp weeks as of Sunday morning to each Friday afternoon for the duration of the camp season. Although accommodations are available for duration, there is no live in requirement from Friday afternoon until Sunday morning over the course of programming. Location – Queen’s University, Kingston
• Experience working with youth
• Ability to work effectively with little supervision
• Current WSIB approved Standard First Aid Training and minimum CPR Level C
• Satisfactory submission of a Canadian Police Information Check (CPIC) and Vulnerable Sector Check
• Minimum of 18 years of age at time of hire
• A current student at Queen's University, considered an asset
• Capable of safely and effectively carrying out the duties as assigned by a contract of employment or collective agreement

COMPENSATION:

The contract runs from June 30 - August 15, 2025.

Staff reside in residence with 3 other staff members. Compensation for a summer contract is $5,250 including room (for duration) and all meals during camp programming (no meals are included outside of camp programming - Friday dinner through Sunday lunch). Chaperones anticipated to be free/off duty from Friday afternoon – Sunday morning.

YOUTH OUTREACH CHAPERONE SUPERVISOR

We are looking for a dynamic leader who will be responsible for the overall direction, organization, and supervision of campers for the live-in residence portion of the Queen’s Educational Outreach programs. You will plan and prepare for summer activities, then supervise a team of Youth Outreach chaperones to ensure they are engaging campers in fun and challenging activities while providing a friendly, safe and welcoming environment for all. JOB DESCRIPTION:

The Youth Outreach Chaperone Supervisor position is a dynamic role that encompasses elements of leadership, supervision, activity planning and facilitation. The Supervisor plays an active role along with a team of chaperones in enriching the residence experience of participants attending Queen’s Educational Outreach program camps (for youth in grades 9-12). Responsibilities include scheduling training and supervision of the Youth Outreach Chaperones as well as extra-curricular activity programming, and other administrative tasks related to the successful and seamless operation.

The Supervisor will lead a staff team that is responsible for the supervision and safety of all students attending campus outreach programs while in residence outside of academic programming including evening activities, mealtimes and overnight. The Supervisor will also provide direction to the team in support of social activities, including planning, overseeing and setting up extra-curricular activities and assisting with associated administrative tasks.

Interested candidates must have excellent supervisory skills, outstanding communication abilities, demonstrated experience working with youth and a passion for learning. Candidates should understand and commit to promoting equal opportunity and support for all campers regardless of ability and will work with their team to ensure participants have an enjoyable experience while actively modelling leadership, compassion, inclusiveness, respect, and instilling a sense of community.

Note: All academic-related programming will be managed by associated faculty representatives.

MANDATORY TRAINING AND PREPARATION:

May 26 – June 27: 8am-4pm (option to live in available for those interested)
- During this time, the supervisor will be onboarded and familiarized with campus operations, university policies, and compliance guidelines. They will update and compile training materials and plan and confirm extracurricular activities both on campus and off campus while completing all required camp compliance documentation.

Week of June 30 – July 4: Youth Outreach Chaperone Staff Training
- This training schedule will run daily, with timing to be confirmed based on the training materials. The Supervisor is responsible for delivering required training and ensuring all staff are equipped for the season, providing additional support where required. Move-in for chaperones is required by July 6th, with the option to live in as of June 29th.

CAMP DATES:

First day of camp: July 6
Last day of camp: August 15

During scheduled programming dates, the Youth Outreach Chaperone Supervisor is required to live in residences to lead programming and provide backup supervision for the Chaperones who are on a rotating on-duty / on-standby / on-call schedule as required during programming.

• ON-DUTY – chaperone is engaged in or responsible for an assigned task or duty.

The Chaperone schedule is provided as reference only and subject to change with camp requirements. During programs, the Supervisor will complete administrative tasks and preparations while being available to fill in, for any reason, for a Chaperone who is unable to fulfill their duties. The Supervisor must remain on campus when staff ‘ON DUTY’ and within 15 minutes of campus when all staff are ‘ON STANDBY’.

RESPONSIBILITIES:

• Prepare for and lead the Outreach Chaperone staff training
• Plan the extracurricular activities to be offered during program sessions – including scheduling & staffing, booking and confirming activities, procuring supplies for on-campus activities while accessing risk and/or documenting procedures for oversight of safety.
• First line of escalation in handling urgent situations/emergencies in partnership with other professional staff, associated faculty representatives, Campus Security and Emergency Services, and/or other campus partners as applicable, including during programming and overnight.
• Determine when to escalate a situation to the Manager or Director
• Ensure the safety, well-being and happiness of students.
• Determine when a situation requires basic first aid or professional medical attention.
• Decide when activities must be cancelled or modified.
• Have educational conversations with participants regarding behaviour and policies.
• Ensure that the Code of Conduct is maintained, including conducting front-line intervention and reporting incidents through the appropriate channel(s).
• Document all health, safety and medical incidents through incident reporting procedure

• Experience working with youth
• Strong attention to detail and analytical skill
• Ability to identify risks when planning activities
• Current WSIB-approved Standard First Aid Training and CPR Level C
• Strong Leadership Skills
• Strong communication skills with diverse groups of people of all ages and backgrounds
• Ability to tactfully handle sensitive situations while maintaining confidentiality

COMPENSATION:

The contract runs from May 26 – August 15, 2025.

From May 26 – June 27, the Supervisor will be in the office Monday – Friday from 8am – 4pm. Compensation for this period will be $20 per hour + 4% vacation pay for a 35-hour work week.

June 30 – August 15, 2025. The Supervisor will reside in residence with 3 other staff members. Compensation for a summer contract is $5,950 including room (for duration) and meals during camp programming (no meals outside of camp programming – Friday dinner through Sunday lunch). The Supervisor is anticipated to be free/off duty from Friday afternoon to Sunday morning.
