The Vice-Principal (Research) Portfolio is pleased to announce that, this spring, Queen’s will begin the transition to Cayuse, a new electronic platform that will support research administration across the university. The platform will replace Tools for Research at Queen’s (TRAQ) for approvals related to grant and agreement administration, as well as human ethics and biohazards protocols, and will be supported by an expanded research services portal.
We’re looking for feedback
Following recent consultation with research administrators across campus, the system is now ready for broader testing. From January 28 to February 18, faculty members and research staff* are invited to participate in Cayuse user testing and training to provide feedback on Queen’s new electronic research administration system.
A Virtual Town Hall was hosted on January 28th to introduce and demonstrate the system. For those unable to attend, a recording and session materials are available for review.
Faculty and Staff who missed this session and are interested in testing can request testing access at queensu.service-now.com/rss
During the testing period, participants will have the opportunity to simulate the research proposal workflow, including receiving email notifications as proposals move through internal submission and approval steps.
Test participants will be asked to:
- Create sample application records (“Proposals”) in Cayuse
- Experience the process for Award record set-up
- Explore supporting documentation and how-to videos
- Report any issues (e.g., data accuracy, system performance)
- Review a sample of legacy data imported from TRAQ and linked to their profile
- Testers will receive an email when this data is available to view
- Share questions and feedback on the product and support resources
- Complete a short survey at the end of the testing period
Your feedback will help ensure a smooth transition for the Queen’s research community.
The transition from TRAQ to Cayuse will occur in stages. In April 2026, the TRAQ Awards module will be replaced by the Cayuse Sponsored Projects system. Starting at that time, all researchers will be required to use Cayuse to manage funding applications and award/agreement records. The Cayuse Human Ethics and Hazards modules are planned for introduction in late-fall 2026.
A newly expanded Research Services Portal will continue to provide Help Desk support and now also serve as the one-stop resource for “how-to” guides and videos, research administration forms (previously known as events in TRAQ), and additional support tools.
