QUAA Code of Conduct
Please review the conduct guidelines in order to volunteer with the Queen's University Alumni Association (QUAA). You'll find information about general expectations, conflict resolution, processes and proceeds, and who to contact for guidance and assistance.
Harassment/Discrimination Complaint Policy and Procedure
Queen's University believes in the necessity of providing safeguards for its members against harassment and discrimination. This includes harassment and discrimination on the basis of race, ancestry, place of origin, colour, ethnic origin, citizenship, creed, sex, gender identification, sexual orientation, age, marital status, family status and handicap (disability).
What is an Alumni Branch?
In addition to the QUAA Board of Directors, a strong and vibrant Branch network unites Queen’s alumni around the globe. Currently, there are approximately 40 Alumni Branches across Canada, the United States, and around the world. Bound by their commitment to their alma mater, these enthusiastic volunteer groups gather in their respective cities or geographical areas to organize and participate in educational, cultural, social, sporting, and community events. Alumni Branches provide a continuing tricolour bond between alumni, the communities where they live, and the University.
There are various opportunities to get involved with your home Branch, depending on the structure and complexity of the current organization.
How are Branches Structured?
While Branches are fun, dynamic, and flexible organizations, the most successful ones have an executive structure in place to maximise efficiency and make the most of volunteers’ time. This structure also aids in succession and transition planning. It is best to start with a president, vice-president and treasurer.
Active Branches may wish to set up committees to help facilitate various activities and events and to allow for a pipeline of engaged and experienced volunteers to aid in succession planning. These committees are a great place to start if you have just begun your volunteer career with Queen's.
What is the Role of an Alumni Branch?
- To help alumni foster a lifelong association with Queen's.
- To engage alumni in the life and work of the University, and with each other.
- To serve as a local chapter of the Alumni Association.
- To provide diverse programming and opportunities for alumni in a specific geographical area.
- To support and identify shared Alumni Relations and QUAA priorities.
- To serve as a point of contact and support for local alumni.
- To represent and promote the University and the QUAA.
- To host visiting Queen’s administrators and academics and help provide them with the opportunity to connect with alumni.
- To provide a fun and rewarding volunteer experience for alumni, students, parents, and friends of the University.
What is Your Role as a Volunteer?
All volunteer positions should be clearly defined to ensure successful programming and volunteer satisfaction. Your staff partner/Alumni Officer can help you determine what will work best for your Branch.
As a Branch volunteer you have access to:
- Opportunities for ongoing personal and professional development, including the annual QUAA Awards Gala
- Guidance and support from your staff partner.
- Regular meetings with your staff partner to plan strategy and ensure the Branch is set up for success
- Appreciation and recognition opportunities for your volunteer team

Help welcome alumni home by organizing your class or club reunion. If you have questions about becoming a Reunion Coordinator or Class Contact, please contact us or call 1-800-267-7837.
Class and club reunions are an important tradition at Queen’s University. Every year, thousands of alumni return to campus to reconnect with classmates, connect with current students, visit former professors, and explore former campus and Kingston hangouts.
Your Queen’s staff partners will support you from the day you sign on as a volunteer, until the day you officially resign from the role. If you’re unsure of who your staff partner is, connect with Carey Morrison in Reunions.
When the time comes to reach out to your classmates/clubmates and share information about your reunion, our staff can help communicate with your classmates and send replies to you directly. We can send emails on your behalf to your classmates and clubmates, as well as mail letters, and assist with group polling or developing RSVP lists.
Event Planning Support
Our staff can offer insight into locations and service providers for your group's event, and perhaps suggest some possibilities you hadn't thought of, whether on campus or off.
Event Registration Support
Our staff can provide online registration, rsvp lists and post event reimbursements and invoice payments. This takes place at the request of volunteer organizers and would require a financial agreement be signed.
Class Giving Initiatives
Many classes choose to mark their reunion with a group philanthropic gift. We can help you choose a Queen's fund to support that will allow your group's donations to have the maximum impact and that will be of interest and importance to the class, and we will help you through the logistics of inviting your classmates to join in the gift. We'll also provide reports on gift impact, kudos for goals and targets that are reached, and updates on how much your class has raised. Learn more about Class Giving.
Reunion Planning Committee
If you want to recruit volunteers, the Reunions Team can send a recruitment email to your class/club mates on your behalf. You could also connect with people you know are interested in being part of the committee and invite them to participate. Your staff partners would love to meet with all of you to help get the planning started.
Whether in person, via teleconference, Zoom, or over email, keep your committee connected regularly through the planning process to determine what kind of events, activities, or merchandise you would like to have for your reunion, and work through the logistics. Talk to your reunion planning staff partner for help in facilitating conference calls on the toll-free Reunions conference line, or face-to-face video calls over Zoom.
