How to Apply to Graduate: Step-by-Step
Important
Submitting an Application to Graduate does not guarantee that your degree, diploma, or certificate will be awarded. All applications are subject to academic review by your faculty or school and final approval by the Senate Committee on Academic Development and Procedures (SCADP).

Step 1: Verify your Application Window (by Faculty/School)
Application periods vary by faculty and school.Your faculty or school may have additional deadlines within this period.
Step 2: Confirm You Meet Your Program Requirements
To apply for graduation, you must have completed, or be on track to complete, all academic requirements for your program, as established by your faculty or school.
- If you are unsure whether you have met your graduation requirements, consult an academic advisor in your faculty or school before submitting your application.
- Once your eligibility has been confirmed, proceed to Step 3.

Step 3: Submit Your Application in SOLUS
You must formally apply to graduate through the SOLUS Student Centre. You will be prompted to sign in using your NetID and Password.
Please note that submitting an Application to Graduate does not guarantee the awarding of a degree, diploma, or certificate.
All applications are reviewed and remain pending until your eligibility for graduation has been confirmed.
- Log in to the SOLUS Student Centre.
- Select the Graduation tile.
- Select your academic program.
- Choose your expected graduation term.
- For Fall 2026 degree conferral, select Summer 2026.
- Select Continue.
- Choose your convocation attendance preference.
- Review and update your alumni address if needed.
- Select Continue.
- Submit your application.
- Select SOLUS Student Centre to return to the main page
To monitor the status of your application, please follow Step 4.
Step 4: Monitor Your Application
Continue to monitor your graduation record in SOLUS.
From the Graduation tile, select Maintain Convocation Details to:
- Check the status of your application.
- Update your convocation attendance preferences.
- Review and confirm your contact information.
Questions about your status?
Each faculty and school is responsible for assessing graduation eligibility. If you have questions about your application status, contact your faculty or school office.
Throughout the application and review period, this status will change. Possible status options:
- Applied: Appears immediately after you submit your Application to Graduate. For most faculties and schools, this status remains until the application period closes. For Fall 2026 the application window closes October 5
- In Review: Indicates that your faculty or school is reviewing your application to determine your eligibility to graduate. This status is most commonly used by the Faculty of Arts and Science.
- CondApprvd (Conditionally Approved): Your application has been reviewed and, provided you successfully complete your current courses and satisfy all remaining program requirements, you are on track to graduate.
- Approved: Your faculty or school has confirmed that you have met the requirements for your degree, diploma, or certificate and will recommend you for graduation.
- Awarded: This final status appears after the University Senate has officially conferred your degree, diploma, or certificate.
- Denied: Your application was not approved because you have not met the graduation requirements. Contact your faculty or school office for guidance on your next steps.
Not on the Final Degree List?
If your name does not appear on the final degree list, contact your faculty or school office as soon as possible. An academic advisor can explain the status of your application, help identify any outstanding requirements, and advise you on the appropriate next steps.
Review your legal (Primary) name in SOLUS before the applicable deadline.
Your Primary Name appears on:
- your diploma
- the convocation program (if you are attending)
- your academic transcript
If changes are required, submit a Name Change Form with supporting documentation before the published deadline.
Deadline for Name Change
The deadlines for name changes are as follows:
- Spring Graduation | April 30
- Fall Graduation | October 5
If you change your name after the specified deadline, there will be a charge to replace your diploma.
If it is not your formal legal name, future employers, licensing bodies, or other educational institutions may require proof that the transcripts and diploma are your legitimate academic records.
Graduating with an Outstanding Balance?
Students with an outstanding balance of $50 or more may still graduate; however, diplomas will not be released until the balance has been paid in full.
To avoid delays, clear your balance at least 2 weeks before your convocation ceremony. Payments may take 5–10 business days to appear on your student account, depending on your payment method.
If your balance is cleared after convocation, contact the Office of the University Registrar at graduand@queensu.ca to arrange for your diploma to be issued and sent to you.

Receiving Your Diploma
Attending your convocation ceremony?
Your diploma will be presented during the ceremony unless otherwise advised.
Not attending your convocation ceremony?
If you are on the final degree list, your diploma will be mailed to your primary address listed in SOLUS approximately three to four weeks after your degree, diploma, or certificate has been officially awarded.
Before the scheduled ceremony dates, please ensure your information in SOLUS is up to date, including:
- Your mailing address
- Your phone number (required for delivery)
If your address is incorrect, your diploma may be returned to Queen’s. Returned diplomas will be held for one year; after this period, they may be destroyed and a replacement fee may apply.
If your diploma has been lost or damaged, you may request a replacement diploma through the Office of the University Registrar.
Please note that university policy does not permit the issuance of multiple copies of a diploma. Each diploma is considered a unique legal document.
Queen’s recognizes that graduates may need official documentation for purposes such as visa or work permit applications. If you need to verify your degree or provide documentation, you may request one of the following:
- Proof of Degree Awarded Letter: An official letter from the Office of the University Registrar confirming details of your degree.
- Certified Copy of Diploma: A photocopy of your existing diploma that has been verified, stamped, and countersigned by the Registrar’s Office. The original diploma must be submitted for certification; photocopies provided by graduates cannot be certified.
The cost of a replacement diploma is $40 (including shipping). To request a replacement diploma, complete the diploma replacement form (PDF, 189 KB) and submit it to:
